This Registration Contract provides Encore Ballroom Couture with specific information about the dresses that you are submitting to our inventory.

PROCEDURE

1) You will need to fill out this Registration Contract and submit.

2) Registration is a flat fee of $60 per dress for Adults and Juniors.

Preferred method of payment is by check. Please make the check payable to ENCORE BALLROOM COUTURE LLC. Enclose the check in an envelope marked “Registration Payment” with your dress shipment.

To pay by credit card, select that option on the Registration Contract. Once the contract is submitted, your card will be processed.

3) Your dresses will be assigned an ID by us and placed on the website.

4) Dresses submitted should be in pristine condition. There should be no holes, damage, smells, stains, or large amount of stones missing. They should be current styles, and no older than 5 years. ENCORE BALLROOM COUTURE LLC has the right to return dresses that are in poor condition or unsellable, and you will be responsible for the shipping cost. We happily accept photos of the dress online for review, prior to shipping.

5) This Registration Contract only allows for six entries per contract. If you would like to submit more dresses, complete and submit an additional contract.

6) Once shipped, please email us the ship date and tracking number so that we may keep an eye out for it.

 

POLICIES

1) If your dress sells, you will receive 60% of the purchase price.

2) If your smooth/standard dress rents, you will receive 50% of $300. If your rhythm/latin dress rents, you will receive 50% of $250. You may choose whether to offer your dress for rental.

3) All advertising and professional hand cleaning of rentals will be covered by ENCORE BALLROOM COUTURE LLC.

4) USA Residents you will be paid in the following way: for a rental payment, once the event for your dress has taken place, your portion of the rental fee will be mailed in the form of a company check to the name and address provided on this contract. As a purchase, once the full payment is received, your portion will be mailed in the form of a company check to the name and address provided in this contract. It can take 10-14 days before you receive your check.

International Residents you will be paid in the following way: for a rental payment, once the event for your dress has taken place, your portion of the rental fee will be wired and the $50 wire transfer fee will be deducted from your rental commission. As a purchase, once the full payment is received, your portion will be wired and the $75 wire transfer fee will be deducted from your purchase commission.

5) If your personal information such as: billing address, shipping address, phone, email, credit card changes while registered with ENCORE BALLROOM COUTURE LLC, it is your responsibility to update it. If there is a change you must notify immediately by email. Also you will need to complete the Change In Registration Information Contract and submit as soon as possible. If this information is not current, it could delay your payments from reaching you. If checks are not processed within 6 months of being written, they automatically void. If we have to stop payment on a check there will be a $60 fee. If we have a returned payment there will be a $50 fee.

For International Residents we need to have your correct bank name, bank address, account number (IBAN) and BIC/SWIFT code. If we do not, your payment may be sent to the wrong person. We will not be held liable for payments that are sent incorrectly due to outdated information. To avoid this, you will need to complete the Change In Registration Information Contract and submit as soon as possible.

6) If someone wants to purchase your dress but there is an existing Try-On Contract on it, the purchase will take priority. The other client will be notified immediately and will have the option to choose a different dress, or receive a full refund of their try-on fee if already processed.

7) If someone wants to purchase your dress but there is an existing Rental Contract on it, if the purchase date is within one month of the rental date, the Rental Contract will be honored. The client purchasing the dress will be notified and will receive the dress after the other client’s rental date. In this case, ENCORE BALLROOM COUTURE LLC will clean and ship the dress to the new owner, at our expense.

If the rental date is over one month away, the purchase will take priority. The other client will be notified immediately and have the option to choose a different dress, or receive a full refund of their rental fee.

8) If your registration expires before a client’s event and they would like to reserve your dress, the rental will be honored. If your registration is not renewed, the dress will be returned to you after the rental has taken place.

9) You will be notified by email when your registration expires. You will be given the option to renew or have your dress returned to you. If you decide not to renew your registration, please complete the Owner Return Form online and submit. Once submitted, the photos of your dress will be pulled from online and your dress will no longer be available to our clients for try-on, rental, or purchase.

10) To extend your registration, you will need to fill out a new Registration Contract online and submit. Your consecutive registrations will be $60 per dress for Adults and Juniors.

11) We do not offer professional discounts on the registration fee.

12) We are no longer accepting registrations for After Five and Youth ballroom dresses.

 

 

SHIPPING INFORMATION

Domestic

You may ship your dresses through FedEx, which is our shipping company of choice. All shipments through FedEx come with a tracking number. You may send your package with direct signature required. If you prefer this option, please email us and we will provide our studio address to ship to. (The United States Postal Service (USPS) does not allow FedEx shipments to P.O. Boxes.) Once shipped, please email your ship date and tracking number, so that we can anticipate delivery.

You may ship your dresses through UPS Air or Ground. All shipments through UPS come with a tracking number. You may send your package with signature required. If you prefer this option, please email us and we will provide our studio address to ship to. (The United States Postal Service (USPS) does not allow UPS shipments to P.O. Boxes.) Once shipped, please email your tracking number, so that we can anticipate delivery.

You may ship your dresses through the United States Postal Service (USPS) for delivery to our P.O. Box. It is mandatory for you to send your USPS package with signature required and tracking number. Mail your dresses to Encore Ballroom Couture, Attn: Julie Wilson, P.O. Box 981, Annandale, VA 22003. Please email your tracking number, so that we can anticipate delivery. If you would like to ship to our studio address instead of our P.O. Box through USPS, please email us and we will provide our studio address to ship to.

Please pay for the shipping label through your local shipping facility. You may use your account numbers for FedEx or UPS. We will email you once the dresses have been received. We will then process them and send you a Registration Invoice.

Note:  Purchasing insurance for your package is completely at your discretion. Each carrier offers different options for insuring packages.

Note:  We would recommend placing each dress and any accompanying accessories within a plastic zip top bag in case your shipping box would get wet or be exposed to moisture during transit.

Note:  Remember to enclose a check in an envelope marked “Registration Payment” with your dress shipment.  The registration fee is $60 per dress.  Make your check payable to Encore Ballroom Couture.

 

International

International shipping can be done through FedEx International, UPS Worldwide, TNT Post, DHL International or any other reputable shipping company. Please ship your package with a tracking number and signature required upon delivery. Please email us and we will provide our studio address to ship to. (The United States Postal Service (USPS) does not allow anything other than USPS shipments to P.O. Boxes.) Once shipped, email your tracking number, so that we can anticipate delivery.

Please pay for the shipping label through your local shipping facility. You may use your account numbers for FedEx, UPS, or other international shipping companies. We will email you once the dresses have been received. We will then process them and send you a Registration Invoice.

Customs Note:  All international shipments may be delayed through customs, so please take that into consideration when choosing your method of shipping. PENALTIES

1) If your dresses arrive and any are in poor condition or unsellable, those dresses will be returned and you will be responsible for the shipping cost.

2) If your dress in under contract with ENCORE BALLROOM COUTURE LLC and you need one back for any reason, notify by email providing your dress ID Number and when you will need the dress. By pulling your dress from the inventory there will be a $225 pull fee plus shipping costs. If it is under contract for try-on, that contract will be canceled and the dress will be shipped to you immediately. The client who had reserved it will have the option to select a different dress or be refunded their try-on fee. If it is under contract for rental, that contract must be honored. After the date of their event, the dress will be shipped back to you.

3) If you pull your dress for a One Time Owner Rental, there will be no penalty assessed if the dress is returned within a two week time period. The owner is responsible for all shipping costs. If the dress is not returned within the two week time frame, ENCORE BALLROOM COUTURE LLC reserves the right to assess the $225 pull fee and remove the dress from the inventory.

4) If your registration check is returned due to insufficient funds, there is a $75 fee. We will process this fee along with the $60 per dress registration fee on the credit card you provide on your Registration Contract.

 

 

CANCELLATIONS

To cancel your registration with ENCORE BALLROOM COUTURE LLC, notify by email your wish to cancel. Additionally, complete the Owner Return Contract online and submit. There will be a penalty of $225, plus shipping costs. You will not receive a refund on your initial registration fee. All try-on reservations will be canceled and clients will be given the option to choose another dress or receive a full refund of their try-on fee if processed. If your dress is under contract for rental, that contract must be honored. After the date of our client’s event, the dress will be cleaned and shipped back to you.

 

 

CLAUSES

1) Your $60/per dress registration fee is non-refundable.

2) If a client forfeits the security deposit on your dress, it is considered to be purchased, and you will receive your 60% of the purchase price.

3) All accessories accompanying the dresses will be held to this agreement.

4) Upon completion and submission of this contract, you authorize ENCORE BALLROOM COUTURE LLC to send your dresses out for try-on, rental, and/or purchase per your wishes cited in this contract, and use them in promotional advertising and posting on the website.

5) ENCORE BALLROOM COUTURE LLC cannot be held liable for lost or delayed payments. It is the responsibility of the client to keep their contact information up to date.

6) ENCORE BALLROOM COUTURE LLC will not be held liable for any injury or malfunction encountered while wearing or in possession of the dresses.

7) ENCORE BALLROOM COUTURE LLC cannot be held liable for the condition of the dresses.

8) ENCORE BALLROOM COUTURE LLC cannot be held liable for lost, stolen or damaged dresses or any associated costs.

9) This Registration Contract is strictly between you and ENCORE BALLROOM COUTURE LLC. Upon completion and submission of this contract, you certify personal ownership of all items submitted.

10) There will be complete confidentiality concerning all personal information provided to ENCORE BALLROOM COUTURE LLC.

11) You will pay any court and attorney costs related to legal proceedings to recoup fees.

12) Julie Wilson as Owner of ENCORE BALLROOM COUTURE LLC, reserves the right to make all final decisions in all matters concerning this company.

13) ENCORE BALLROOM COUTURE LLC abides by the rules and regulations of the State of Virginia. Any court action brought forth or involving ENCORE BALLROOM COUTURE LLC, must be presented and resolved in Fairfax County, in the State of Virginia.
